Board Members Present: Annette Zinky, Stephanie Stackhouse, Laurah Hagen, Rand Jenkins

Staff Members Present: Laura Kelly, Janeece Henes,Loretta Donovar, Alana Miller

Call to Order:  Annette Zinky called the meeting to order at 4:11pm

Approval of Consent Agenda: Rand called for a motion to approve August minutes. Laurah seconded. Motion passed unanimously.

Information Items:

ED, Laura Kelly, reviewed fiscal year statement which will be submitted in October in compliance with State law. ED clarified how categories are determined by the State. Discussed student fees, which are being collected more intentionally and strategically by the ED. Student fees can more easily be paid online, and reminders are going out consistently. ED drew attention to the discrepancy between the amount of money given for SPED education through federal and state funding, and the large amount required for schools to contribute.

ED discussed transition to new accountant on October 1st. Board requests that Tanya be treated like a queen for all her remarkable work on campus financials. Discussion of bringing payroll in-house, after Tanya gains experience and comfort in that area.

Annette asked for additional clarification on the categories of the budget submitted to the Arizona Department of Education (ADE). ED discussed distinctions between the forms generated by the ADE and the monthly budget.

ED presented financials for August. Annette expressed concern that accounting firm ADI included Proposition 301 money in the cashflow as a monthly payment, even though it’s only distributed to schools intermittently and was not distributed in August. Requests that new accountants create cashflow statements that reflect accurate flow of cash from month to month. ED discussed likelihood of increase in building maintenance costs, as utilities expenses go up while buildings break down.

Rand moved to approve annual financial report for ADE, Stephanie seconded. Motion passed unanimously.

Rand motioned to approve August financials. Laurah seconded the motion. Motion passed unanimously.

Board was introduced to Loretta Donovan, new Special Education Director.

Annette announced that Russ Rothamer was resigning from the board and would be leaving Flagstaff to pursue a job elsewhere.

ED discussed personnel issue involving possible appearance of impropriety.

ED discussed announcement of Dean Jelenann Day’s resignation to staff. ED selected staff members to participate in hiring committee, as well as Laurah Hagen to represent the Board.

Annette and board discussed potential new board candidates.

EDdiscussed meeting of “brain trust” in October.

Rand moved to adjourn at 5:39.
